Overview

Organizes and distributes bills, reports and /or documents to the appropriate personnel. Receives and distributes mail including incoming and interdepartmental mail. Maintains storage of multiple types of records and some supplies. Scans payment checks and EOB's, insurance mail, approved charity documents, legal patient mail and refund letters in Epic System. Researches returned mail and re-print bills to the correct address. This position assures the Central Billing office that all incoming and outgoing mail is sent to the appropriate organization within Mercy and other organization as addressed. Accuracy is critical to this position Performs duties and responsibilities in a manner consistent with our Mission, Values and Mercy Service Standards.

Qualifications:

Education: High school diploma or equivalent required.
Other: Must be detail oriented,thorough and be able to sort and distribute a large number of documents within a given time frame
Preferred Experience: Previous experience with a CRT for data entry or inquiry is preferred

Responsibilities
Three (3) staff are assigned to scanning documents in the Epic System daily. The document must be indexed in the appropriate facility for retrieval and reviewed for accuracy. Patient documents must be scanned in the appropriate patient chart in Epic. Scanning problems must be identified and reported to the Epic Team by calling MISD

Two co-workers (with assistance as needed) is assigned to go to the Post Office to pick up daily mail from the PO boxes (we have 4 PO boxes), sort and distribute large volumes of mail from the PO boxes, couriers mail from all Mercy facilities to the correct personnel timely. Identifies problems with mail and reviews issues with manager.

All Billing Statements for the Eastern Mercy Hospitals are folded, stuffed and metered postage for outgoing mail on a daily basis. Printed billing statements, UB04Ls and HCFA 1500 forms are mail out daily to insurance companies..

Prepares documents to be scanned by removing staples and applying tape where needed, filing hard copy documents in file cabinets or on shelves in storage room for 3 months. Discards assigned documents that have been scanned in the recycled binds. Medicare and Medicaid documents are stored for a period of 7 years.

Utilizes fax, folding machines, copier and postage equipment to completion of assignments. Maintains supplies for each and cleans equipment bi-weekly. Performs other duties as assigned.

One person works on researching returned mail in the computer system using internet software, telephone directories, calls to patients and their physicians. If address cannot be located, accounts are forwarded to the collection agencies for skip tracing.
