The Administrative Assistant position in Radiation Physics at MD Anderson Cancer Center assists with administrative activities to impact departmental efficiency and productivity.
This Administrative Assistant will perform administrative tasks identified by the Administrative Support Supervisor. This position requires independent judgment and initiative, strong organizational skills and the ability to multi-task.
The ideal candidate must have excellent verbal and written communication skills to effectively communicate with all levels of staff, patients and visitors. This Administrative Assistant must be able to work independently with minimum supervision in a fast-paced work environment. Experience supporting faculty at MD Anderson is preferred.
**KEY JOB FUNCTIONS**
+ Type, compose and edit memos, letters, curriculum vitae, biographical sketches, grant support, contract support, reports and other complex documents according to a specified format.
+ Coordinate meetings with multiple attendees.
+ Maintain FacultyProfessional Staff request for time off and clinic coverage VIA HR Outlook Service calendar for vacation, sick leave and other absences.
+ Perform daily mail run by distributing mail on Monday, Wednesday and Friday to the appropriate areas for the department. Not to exceed the limit of 5 to 10 lbs.
+ Maintain the collection, delivery and distribution of lab coats to the appropriate area for the Faculty and Professional Staff.
+ Provide front desk coverage for the Divison when needed, as well as fellow co-workers.
+ Interact appropriately with all levels of Faculty, Professional staff and co-workers.
+ Work willingly in an isolated area without direct supervision, using highly developed communication skills in a professional manner, including verbal and written.
+ Operate all standard office equipment, including poster printing for the department for upcoming Seminars or other notifications.
+ Schedule classes for Faculty with educational responsibilities.
+ Process and track departmental purchases requisitions and maintain department/divisional supply inventory.
+ Coordinate travel for staff including registration, hotel accommodations and transportation.
+ Collects receipts, complete and submit travel reimbursements according to Institutional Travel policies.
Required: High school diploma or equivalent.
Preferred: Bachelor's degree.
Required: Four years of administrative/secretarial experience.
With preferred degree, no experience required.
Preferred: MD Anderson experience with working knowledge of MS Office, Adobe Acrobat Professional, Faculty Information System (FIS) and Concur.
