The Administrative Assistant position is a highly visible role supporting Hallmark's business/industry development team and working with one of our key national retail partners. This role is well-suited for a proven high-performer who thrives in:

The Administrative Assistant will perform a full range of administrative activities and support for the Vice President/General Manager of Key Accounts and Development and his/her team. Key responsibilities for the Administrative Assistant include the following:

  • Schedule meetings and manage calendars. This includes collaborative interaction with internal and external parties, other administrative assistants, executives, etc.
  • Main point of contact for external partners for various external industry groups, conferences, etc. This requires strong relationship building skills with a customer-first mentality
  • Identify and book travel arrangements (domestic and some international) including transportation, lodging, dining, entertainment, etc.
  • Complete expense reports, in accordance with company policy, and submit for approval
  • Assist Vice President with departmental needs
  • Take lead in various items including sending greeting cards and other correspondence, planning and executing team-wide meetings/events, supply management, mailings, answering/returning calls, etc.

The following is required to be considered for this role:

  • High school diploma, GED, or equivalent
  • At least 2 years of experience in an administrative support role
  • Must be able to pass a 2010 version of Microsoft Excel, Word, and PowerPoint testing as part of the interview process
  • Must be able to pass a typing test of 45 adjusted wpm as part of the interview process
